Visual Management: how to choose document holders, label holders and boards

The magnetic holder sticks to all iron and steel surfaces – shelves, cabinets, machines, metal mesh boxes and containers – does not slip and can be moved without tools. The self-adhesive holder is fixed with foam strips on metal, wood, plastic and glass, even if the surface is not perfectly flat, and holds even under strong vibration: it is the choice for positions that do not change. If the container has no suitable surface, use the hanging pocket with brackets or hooks. On non-metal surfaces you can also stick on the self-adhesive metal tape or magnetic tape and then use magnetic products.

The standard magnetic holder has 2 mm ferrite strips (approx. 40–45 g/cm²), with 1, 2 or 4 strips or a full-surface magnetic sheet, from DIN A7 to A4 and 1/3 DIN. The Neodym has two neodymium magnets welded into the pocket: it holds even with vibration and transport and on small, uneven or curved surfaces, and comes in A6 and A5 landscape and A4 landscape and portrait, also with an extra magnetic strip. Both are available with a closing flap (the Neodym with flap is light grey); the Neodym also comes in an ESD version.

Choose the pocket by the sheet format: 1/3 DIN (99 × 210 mm, one third of A4) for narrow documents, folded A4 sheets and barcodes; A7 (74 × 105 mm) and A6 (105 × 148 mm) for cards and short information; A5 (148 × 210 mm) and A4 (210 × 297 mm), landscape or portrait, for checklists, work instructions and shift plans. Inside and outside dimensions are on each product page. Versions with closing flap come in A5 landscape and A4 landscape and portrait, the Outdoor pocket in A5 and A4 landscape.

For label holders, Kanban-Covers and Kanban sleeves there are pre-cut cards on A4 sheets with micro-perforation: they print on any printer and separate without scissors. Magnetic Windows® and repositionable adhesive windows are written on with non-permanent markers; on writable magnetic labels, writing done with a water-based marker is wiped off with a damp cloth. Anti-Stick label holders serve as a base for printed adhesive labels, which then come off without residue.

The ESD versions are made of permanently dissipative IDP-STAT® film and meet the requirements of DIN EN 61340-5-1, so they are used in EPA protected areas. Typical surface resistance is 10⁹–10¹⁰ Ω. There are hanging and Neodym document holders, hanging Kanban-Covers, KAN-Label and KLT-Snapper for KLT containers to VDA 4902, FLIP-MAG pockets and an A4 pocket. The ESD Systembox and ESD Kanban mailbox, on the other hand, are made of low-charging ABS.

Standard pockets, label holders and magnetic labels are designed for indoor use, and information frames are suitable for indoor use only. Outdoors, in wet areas and where there are water splashes, use the Outdoor document holder: the zip on the bottom edge protects the document from wet, dirt and mechanical stress. It comes in A5 and A4 landscape, blue or yellow, self-adhesive, magnetic or hanging; it withstands -20 to +80 °C for short periods. For pallets there is the pallet clip, suitable for indoor and outdoor use.

With a soft or damp cloth and, if needed, a mild detergent. Avoid solvents: according to the data sheets the PVC of the pockets is not resistant to solvents such as tetrachloroethylene. Do not use chemicals or alcohol on Anti-Stick surfaces and do not rub too hard. Magnetic Windows® and repositionable adhesive windows are cleaned with a damp cloth.

It depends on the product. Repositionable adhesive windows have an adhesive frame that comes off without residue and can be reapplied many times on smooth surfaces such as glass, metal and plastic. On Anti-Stick label holders, with their siliconised surface, adhesive labels come off without residue and can be applied again and again. For pockets, Label Covers and label holders with foam adhesive ORGATEX does not state residue-free removal: if the position changes often, choose the magnetic versions, which move without leaving adhesive behind.

Quantities are ordered in packs: the number of pieces is shown in the «Pack» attribute of each product. Document pockets come in packs of 10; previously packs of 50 were shown, so for the same quantity order 5 packs. Label holders usually come in 50 or 100 pieces, KAN-Label and KLT-Snapper Kanban sleeves in 50; for Mega label holders and insert cards the number depends on the format.

For 28 mm tubes and profiles there is the label holder with clip, 100 or 200 mm long, open at the side and top to change the insert; for Green Frame GF-N Ø 28 mm tubes the 50 × 100 or 50 × 120 mm front card holder. Pockets and label holders are fixed to round tubes from 28 to 30 mm with the Gripper hook Ø 28, which has inner grip points and holds even with vibration. Series 100 frames are mounted on tubes from 23 to 38 mm with the matching clamps.

On a metal board or wall, Magnetic Windows® hold documents without sleeves and are written on with non-permanent markers; magnetic headers name the sections and magnetic clipboards hold the forms to fill in. To hang the rules above the workstation there is the 5S suspension set: a 2420 mm steel tube, three white A3 frames and three A4 frames in yellow, green and red, with clamps and hooks. For cleaning tools there is the 5S cleaning station. Use colours consistently for departments, statuses or responsibilities.

Hanging pockets have 5 holes in the header and a slot. The universal support slides into the slot and is for mesh boxes and walls up to 4 cm (not with flap, A7 or A4 landscape); the special retaining clamp goes through the outer holes and is ideal for A4 landscape; the mini clamp is only for A6 landscape and A5 portrait; the container clamp fits walls up to about 2 cm. For mesh boxes there are the Gripper hooks, for 28 to 30 mm tubes the Gripper Ø 28; for cartons and packaging, the metal clamp, plastic nails or U-clamp; for lasting fixing, plastic cable ties. The same accessories work for ESD pockets and the standard Outdoor pocket.

First choose the look: clear label holders, or white ones such as Anti-Stick, have no colour coding; coloured ones distinguish zones, departments or product families. Then the fixing. If the location does not change, choose self-adhesive, for permanent identification: Quick Label, 40° angled, Anti-Stick, Flexschild and the self-adhesive Label Top, Label Plus and Mega stay on the shelf, and when the item changes only the insert is changed. If locations move or are reorganised, choose magnetic, for temporary identification: magnetic Standard, Color, Anti-Stick, «C» profile, Label Top, Label Plus and Mega or writable magnetic labels, which are moved without tools and without leaving adhesive; on non-metal shelving first stick on the BMS35 self-adhesive metal tape or the self-adhesive magnetic tape.
